Host Family Clearance Process – Jan 2, 2024*

Host Family

  1. Primary Contact creates an account on https://rmrye.playerspace.com/
    ***Use your full legal name, not nicknames when setting up the account. Creating an account also submits a background check.
  2. Primary Contact completes required activities once logged into https://rmrye.playerspace.com/
    * consent to program rules
    * consent to background check
    * complete host family training module
    * upload required photos of family’s home
    * complete initial interview information
    * provide 4 references & contact information (3 non-relatives, 1 relative)
  3. All adults in the home will need to create an account on https://rmrye.playerspace.com/ & select “Secondary adult”.
    ***Use your full legal name, not nicknames when setting up the account. Creating an account also submits a background check.
  4. All other adults in the home complete required activities once logged into https://rmrye.playerspace.com/
    * consent to program rules
    * consent to background check
  5. Family complete an in home visit with the Youth Exchange Officer. The YEO review your answers to the questionnaire with your family, answer initial questions & discuss the overall program.
  6. Review the Host Family Handbook, the Dept. of State Welcome Letter.
  7. Review the first night questions to begin thinking about integrating the the exchange student into your family’s daily routines.

Youth Exchange Officer

  1. Review the Host Family Application consent form.
  2. Contact the family’s references & submit the Reference Contact Form. This will be copied to you, the Country Contact & the District automatically.
  3. Complete the in home visit with the family.
    Review their answers to the Family Half of the home interview (including photos).
    Discuss their answers or any concerns, then submit all answers to the in home interview – YEO form. This will be copied to you, the Country Contact & the District automatically.
  4. Follow up with the Country Contact if you have not received the background check clearance confirmation.
  5. Provide copies of the Host Family Handbook, the Dept. of State Welcome Letter to the family. Only provide the student’s application after all background checks have cleared.
  6. Confirm you have completed all your steps by reviewing & signing the Host Family Process Form (electronic signature)

Country Contact

  1. Review the Host Family Application once signed.
  2. Log into the playerspace & confirm all adults in the home have clear background checks. Submit the background check clearance confirmation. This will be copied to you, the YEO & the District automatically.
  3. Review the home visit photos and answers.
    Photos – playerspace; Family interview responses – playerspace,
  4. Review the YEO’s summary of the host family interview (emailed to you)
  5. Follow up with the YEO if you have not received the Reference Contact Form.
  6. Confirm you have completed all your steps by reviewing & signing the Host Family Process Form (electronic signature)

For the first host family, also submit the Inbound Visa Paperwork Form, which will include all pieces of information we need to issue the student’s visa paperwork.

A student cannot move into the home until the full process has been completed.
This includes all signatures, background checks, the interview, training, and references have been contacted.

The host family should be completing all steps within Playerspace: https://rmrye.playerspace.com/
The first name & last name used to create the Playerspace account should be your legal name. These fields are used for the background check. Ex: if your name is Samantha, but you go by Sam, you should list Samantha as your first name not Sam so that the background check will not be returned.

Follow up with the Country Contact for status update.

The in home interview to be split into 2 parts: The bulk of the information will be completed by the family prior to your visit. Please provide them with this link when you request they complete the application: Host Family Interview – Family
Temporarily this will require them to complete the reference contact information a 2nd time.
The Host Family Interview – YEO will then be completed during the in home visit to verify the information submitted by the family.

We are in process of migrating to a new system where the application, background check, consent forms & training will all take place in 1 area, visible to the YEO, CC & District.
Until this system goes live this summer, some portions of the process might be temporarily duplicated.
